Sage Accpac ERP Tip: Save Settings as Defaults FAQ

Q: When others log on, will they see my custom settings if I have saved them?
A: No, it is your own personal screen. Each user can have his/her own custom screen saved to their own preferences without having to change settings between users.

Q: Does every Sage Accpac ERP report have this function?
A: No. For example, in the A/R module, only 5 reports have this function:
1. A/R Trial Balance Report
2. A/R Customer Report
3. A/R Statement/Letters/Labels
4. A/R Customer Transaction Report
5. A/R Retainage Report

Q: How do I restore back to the default settings?
A: Under the “Settings” menu, select “Clear Saved Settings.”

Did you know that when you open the A/R Trial Balance Report in Sage Accpac ERP, you do not need to manually select the aging periods or customer ranges every time? Accpac can remember them for you.

After opening the A/R Trial Balance Report, you will see the default screen. No matter which fields you change, you end up losing your specifications after you have closed the A/R Trial Balance Report. The next time you open it again, all the criteria are restored to the original default values.

There is a way around this!

All you have to do is click on “Settings” at the top of the default screen and select “Save Settings As Defaults.” All the changes you have already made to the default screen will be recorded by Accpac so that the next time you open the A/R Trial Balance Report, you will see your criteria as you have saved them.

The Dangers of Connecting to a Public Wi-Fi Network

With the right tools and an unsecured network, someone can see the Web sites you visit, the documents you work on, and even the login names and passwords you use. These threats are increased when connecting to a public wireless network.

However, there are some things you can do to prevent someone from gaining access to your confidential information. First, make certain that you have firewall software running on your computer whenever using a public wireless Internet service provider. Next, examine the security status information presented in the listed wireless connections. If the wireless connection offers no encryption, it will be displayed as “Unsecured Network.” Only connect to wireless networks that require a network security key or have some other form of security, such as a certificate. Always read any privacy policy statements to learn what will be installed on your computer and what information the provider may sell.

How to Make the Most of Your Accounting System

There are many things that your current accounting system can do aside from its core intended purposes. For example, accounting software allows the setup of managing recurring tasks, thus saving you time by eliminating duplicate data entries.

Accounting systems also have many ready-made reports. Look at them and pick out those that work best for your situation. You will find that they ease much of your pain at year-end. If your ideal report is not available yet, you can simply create one by using reporting tools such as Crystal Reports, Microsoft Access, or Microsoft Excel.

Finally, accounting software can be used for marketing purposes. Many accounting systems allow some sort of customization of invoices and other documents, allowing you to include a custom message in every invoice or other document sent to a customer. For example, you could use this option to announce promotions or to invite your clients to special events. This will enable you to maintain good relationships with your customers.

Small Tip on Crystal Reports

When designing a Crystal Report to be used in Sage Accpac ERP, most people are aware that if they have defined a parameter as “CMPNAME,” Accpac will pass the value of the login company name to the parameter. However, there is a another less-known parameter called “ACCPACUSERID” that will pass the user ID of the Accpac user who prints the report to the parameter. This parameter can also be used to restrict the viewing of certain data.

“The new system just isn’t working the way we hoped…”

It is not unusual for system implementations and upgrades to represent a major investment. Also, when things don’t turn out as planned, costs (and headaches) can quickly multiply.

You can avoid these pains by developing a documented needs analysis and functional requirements listing before signing on the dotted line for an implementation or upgrade.

For all involved, this would help clarify your vision of optimal system functionality or process automation and provide a basis for an even-field RFP process, thus better equipping you to get the most bang for your buck.
