Update Your Documentation

Posted by Meredith Gooch on Mon, Aug 03, 2009

Does your company’s process or system documentation consist of illegible sticky notes, unorganized file folders, and copies of old emails from people who haven’t worked there in years?

It might be time to update your documentation. Consider the following timeline when deciding to update or develop your formal business/system documentation:

Immediately:
Especially if you are facing staff shortages or layoffs, you must develop some sort of process or system documentation if you do not currently have one.

Before you upgrade:
Documentation will help you understand your current system functionality and identify additional needs in an upgrade.

Before you implement a new system:
Documentation will enable you explore and compare various vendors’ systems and obtain truly competitive bids.

After you implement a new or custom system functionality:
Documentation will describe the new or changed workflow procedures.

When you are ready to expand your business:
Documentation will help you compile and evaluate expert advice to ensure informed decision making.

Before the auditors arrive:
Documentation will help ensure your compliance requirements are met.
