How to Activate "Inception To" Reports in Intacct

Here is a quick tip: Intacct provides two System Reporting Periods that are inactive by default, Inception to Current Month and Inception to Date. Activating these allows you to run reports spanning multiple years.

To locate these reporting periods:
1. Navigate to the “Company” module
2. Click on “System Reporting Periods”


3. Click on "Include Inactive"


4. Locate “Inception-to-Date” and/or “Inception-to-Current Month”
5. Click on "Activate" for the periods you would like active


6. Select “OK”

Now when you run a report, the “Inception” options appear as a reporting period to select.

Troubleshooting Sage 300 ERP Payroll

I ran across an interesting issue I had not seen before when working with a customer’s Sage 300 ERP payroll last week. We found one pay period where employee “Bob” had a check amount of $1,500 that did not match their payroll register details. Bob’s payroll details usually included five earning details, one for each day of the week, as well as deductions and tax details. In this case, the report was only showing one earning detail for $400 and no deductions or taxes. It was clear that details were missing from this report.

The first thing I tried was running a data integrity check with the fix minor errors box checked. When that finished running, I checked the check amounts and payroll register details again, and the numbers now matched, but it actually changed the historical check amount to $400 to match the inaccurate payroll register report.

Next, I decided to dive into the database. Running a few SQL queries revealed something interesting. When my query filtered the results on the period end date (PEREND = 20140901), the result was one detail line for $400, matching what showed up in the payroll register report. However, when I changed my filters to include a range of dates instead, my query returned the full list of transaction details that totaled the $1,500 original check amount.

I tried updating the data in the PEREND column, but got an error message…


This led me to believe there to be an issue with the indexing in this table. I then ran this query to reindex the table…


After that, I ran a query using the period end date equals filter again and all the details matching the $1,500 total are returned. I ran the data integrity check with fix minor errors again, and now both the transaction history report and the check amount have a total of $1,500.

I thought this would be worthwhile to share because I had not seen this issue before. I hope this will help if you run into a similar issue.

Working with Intacct Price Lists

I had a chance to work with price lists in Intacct for the first time a few weeks ago. Overall, setting up price lists for items is pretty simple, but here are a few things I learned that might help you when setting up your price lists.

  • When setting up transaction definitions, the Special Price List will override the Initial Price List. If you are doing a markup or discount, the base price needs to be in the Initial Price List and the markup or discount needs to go in the Special Price List.
  • An item can have different prices on different days by setting start and end dates in the price list entry. The transaction date will be used to determine the price to use.
  • If markups or discounts can be applied to the item, the Fixed selection should be “N”.
  • Minimum/Maximum Quantity fields should also be populated.

Easily Set Up User Based Permissions in Intacct

Setting up user permissions for the first time can be very time consuming. There are so many different activities/lists and reports that can be assigned permissions.

On the permission assignment window, the header section has an area that allows you to assign None, Read Only, or All for all the permission options in that section. Read Only will check all the List and View options while None and All should be self-explanatory. Please note that there is a Reports section in the permission selection window for some modules.

Another way to expedite this process is by utilizing a permissions template. By choosing one of these templates, it automatically selects a corresponding set of user permissions for all the modules. This gives you a great starting point. Permissions can then be tweaked afterwards as needed.

How to Print Checks in Intacct using Google Chrome

One issue that you may run into when printing checks in Intacct with Google Chrome is that the “Fit to page” option is selected by default in Chrome’s PDF Viewer plugin. With this option checked, the check will not be aligned or sized correctly when it is printed on check stock. You must be sure to uncheck this option for checks to print out correctly.

You can also disable the Chrome PDF Viewer. By doing so, Intacct automatically will download the PDF file instead of displaying the preview in the viewer. You can then open the saved PDF and print from there without worrying about the “Fit to page” option.

To disable the built-in viewer, enter chrome:plugins in the address bar and click Disable underneath the entry for “Chrome PDF Viewer.” The Adobe Reader plug-in will automatically be enabled, if you have it installed.
